Operations Specialist (Patient Engagement Center/Call Center)

The Operations Specialist is an essential role, in serving all members of the Patient Engagement Center. This role requires an individual who is self-motivated, organized, forward thinking and energized to drive continual improvement for the overall company and our patients. Our objective is to provide the best support for our PEC team, internal partners and patients. We are looking to build our operations team by adding a dynamic team member who is excited to make a meaningful contribution.

Responsibilities:

  • Assist the team with Acquisition and  Integrations task list items, including coordination of communications, process documentation and other support as needed
  • Work with supervisors / managers / and HR teams to ensure accurate employee reporting. 
  • Research, analyze and produce Patient Engagement Center reports, and dashboards
  • Experience using, supporting, maintaining, and configuring Eyecare Partners 360 Scheduling Program.
  • Support Work Force management tasks,  including new hire setup, skill groups, and workgroups
  • Creates and maintains standardized workflows and procedures. Provides recommendations for change and participates in analysis of workflows and procedures to improve accuracy and efficiency
  • Review existing business processes to identify training needs and potential weaknesses and communicate to the training department and leadership as needed.  
  • Excellent Communication skills: verbal, written, and visual (diagrams, info graphics, slide decks, etc.)
  • The ability to lead, follow, and collaborate with diverse teams in a dynamic setting.
  • Collaborate with all departments on the rollout of new initiatives, delivering needed information directly to front line staff and leadership.
  • Facilitate resolution or escalation of processes, issues and/or problems to leadership as necessary.
  • Support patients through Social Media interactions
  • Document issues/concerns.
  • Perform All other duties as assigned

Requirements:   

  • Minimum high school diploma, prefer some college and/or degree
  • Preferred technical knowledge and experience with Eyecare360.
  • Not afraid to challenge current processes and procedures to improve overall team and experience provided to internal customers and external patients.
  • Strong understanding of call center/contact center management metrics
  • Excellent critical thinking, attention to detail and analytical skills
  • Self-motivated with a good work ethic, organized, embrace change and possess proven time-management skills.
  • Must be able to work with minimal supervision, and have flexible scheduling when required.
  • Works to achieve/exceed all goals, targets, and objectives with consideration to efficiency and cost-effectiveness.
  • Excellent MS Office skills preferred (Word, PowerPoint, and  Excel)
  • Pleasant, friendly, professional manner, customer service skills, excellent written and verbal communication skills with a high level of emotional intelligence.
  • Ability to maintain strict confidentiality

 

Physical Requirements:

While performing the duties of this job, the employee is regularly required to talk and hear. Must be able to sit for an extended period of time.

Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

Work Environment:

The job operates in a professional office environment.  The role routinely uses standard office equipment such as computer, phones, photocopiers, filing cabinets and fax machines.

Position Type/Expected Hours of Work:

Some flexibility in hours is allowed, but the employee must be available during the “core” work hours of 6:30 a.m. to 7:00 p.m. Monday – Friday, and 7:00 am to 1:00 p.m. on Saturdays. Must work 40 hours each week to maintain full time status.
